The role will provide a superior administrative service across all areas of HR activities and in particular will focus on new hire administration, system data management, and managing employee enquiries. In addition, the incumbent will support the HR Business Partners as needed as well as the wider HR team.

Recruitment and Onboarding

  • Production of offer letters, contracts and recruitment packs
  • Providing great candidate experience through onboarding support and pre-employment screening
  • Timely and accurate starter input for payroll
  • Liaison with candidates and agencies regarding onboarding process and start dates
  • Liaison with HR Business Partners and managers, Compliance and Risk regarding progress of pre-employment screening for candidates
  • Immigration coordination for new hires as needed
  • Administration of temporary staff recruitment and work experience placements inc. monitoring with agencies the pre-assignment screening and completion of compliance documents

Administration

  • Assisting with the management of HR enquiries and meeting internal SLAs: responding to inquiries within 48 hours and ensuring 80% are closed within 24 hours
  • Managing the HR database
  • HR system security queries such as password and username resets
  • E-file and hard copy personnel file management, ensuring filing is completed in a timely manner and archiving is managed regularly
  • Assisting with the management of HR related invoices
  • Assisting with learning and benefit queries
  • Provide administrative support to HR BPs as needed
  • Providing technical support on HR systems including password resets

Leaver Coordination

  • Collating outstanding benefits or other deductions for the last payroll and calculating pro-rated holiday entitlements
  • Updating and saving leaver document for payroll and to efile
  • Responding to requests for standard and regulated references

Reporting

  • Send out all Weekly and monthly scheduled reports
  • Respond to ad hoc report requests

International and UK Payrolls

  • Assist the HR Operations Advisor with monthly payroll administration for international and UK payrolls
  • Update monthly benefit information ahead of payroll deadlines so that correct salary sacrifice and deductions are uploaded to the external payroll vendor
  • Ensure relevant payroll audit documentation is saved and completed on or before deadlines
  • Assisting with the validation of payroll information calculated and provided by the external payroll vendor, ensuring it is accurate and completed in a timely manner
